Large companies can be divided into different areas of responsibility.

Example 1: Landeca starts as a landscaping company, but they expand to include new construction. They create a landscaping division and a construction division.

Departments and divisions both allow you to refine your report selections. Departments let you report a disparate set of accounts, based on the department they’re assigned to.

Divisions are more wide-ranging. Depending on how a set of books are set up, you can require that all invoice items, journal entries, and timesheets are posted to divisions for accounts above a certain value, or floor. Users will be able to select from the divisions assigned to the general ledger account posted to. You can then run any number of different reports for specific divisions. In this way, you can identify costs, expenses, and payroll amounts by division.

To modify divisions, navigate to [d] General Ledger, then [u] Set Up, then [c] Division Entry.

The screen lists the divisions that have been set up for your company.

Click on the Details tab.

You can click on the action field to see a list of actions.

INQUIRE

This action lets you view, but not change, a division.

ADD

Add a new divison.

CHANGE

Change the name of the division.

DELETE

Delete a division that hasn’t been assigned to a book or account.

PRINT

Print, email, or export the division record to excel.

Only active divisions can be assigned to accounts and books.

Mapping Divisions to Books

You can assign divisions to individual books, or you can assign several books to a division all at once. To do that click on the Div-Book tab and select the Change action.

Highlight the books that will be use this division. You can do this one at a time, or by holding down the <Shift> key and clicking on each account. In our example, only the construction companies will use the CON-Construction division.

Click the ‘Select’ button to select the books.

And click the ‘Apply’ button to save your changes.

Mapping Divisions to Accounts

You can assign divisions to individual accounts, or you can assign many accounts to a divisions all at once. To do that click on the Div-Account tab and select the Change action.

Highlight the accounts that will be specific to this division. You can do this one at a time, or by holding down the <Shift> key and clicking on each account.

Click the ‘Select’ button to select the accounts.

And click the ‘Apply’ button to save your changes.
